Sales Operations Specialist

The Global Business Operations Administrator will help identify opportunities to deliver a disciplined process and efficiency across functional areas of the business including sales, finance, operations, product, and marketing, while encouraging collaboration.



Business Operations Efficiency

  • Refine or re-establish processes and use of tools (eg. SF.com) to maximize productivity of the team
  • Provide continuity/linkage across functional areas – allow for better communication and quicker issue resolution between sales, finance, product, marketing, and operations

Pipeline Management and Forecasting

  • Support ongoing management and hygiene of pipeline to ensure it provides accurate representation of opportunities sales team is working on
  • Facilitate a weekly process around updating Salesforce, submitting the forecast, reviewing for accuracy, and publishing to management
  • Ongoing support of executive review sessions to review ‘state of the state’ with key stakeholders of the business
  • Validation of the numbers by working direct with Sales, Legal, Finance, and Operations
  • Report metrics on win rate, response time, etc.

Salesforce.com Management

  • Establish and maintain use of SF.com as the backbone of process from opportunity identification and specification through invoicing
  • Be the subject matter expert on RSi use of Salesforce.com, provide support to Sales teams on use of Salesforce.com and provide ongoing training & retraining of SF.com with teams
  • Utilized SF.com to provide better visibility to business – sales by region, product, customer, opportunity conversion rates, lifetime value of customers, etc.

Account Management/Territory Assignment

  • Work closely with the sales VPs to ensure best coverage of both installed-base clients as well as new prospects
  • Manage territory changes in Salesforce so everyone has visibility into account assignments

Sales Training

  • Act as a consolidation point for identification and knowledge growth, work with appropriate business contacts to plan and schedule appropriate training to benefit supported teams – process, tools, product, etc.

Data Cleansing

  • Work with marketing to insure accounts (and parent/child relationship and ownership) are updated along with key fields (revenues, industry, SIC codes).
  • Scrub/de-dupe contacts regularly. 

Proposal Management

  • Maintain central repository of all proposals and ‘gold standard’ RFP responses
  • Ensure process is followed and ensure all appropriate reviews are completed through proposal process
  • Work with owners of content to update key presentations for usage across the field

Competitive Intelligence

  • Facilitate win/loss questionnaire for key deals, summarize and report to sales team


  • Ensure clarity of pricing strategy, pricing & policy document, pricing tool along with discount structure

Synchronization with Marketing

  • Work with the marketing team to :
    • Publish marketing calendar to entire team and determine outreach for events (emails, calls, personal invitations for dinner)
    • maintain centralized repository of key competitors and information on their company, customers, pricing and products
    • Support determination of appropriate campaigns with marketing to drive pipeline development
    • Build a process for list management/contact updating for key events/user conferences
    • Develop topics for campaigns, webinars, summits



  • Minimum of 3-5 years’ experience working in a sales operations role with direct involvement with Sales Representatives and Sales Executive Management
  • Salesforce.com  - Advanced User experience
  • Exposure to Finance, Accounting and Legal processes
  • Advanced Excel / Powerpoint skills
  • Detail and Process oriented
  • Salesforce.com  - Administrator Experience preferred
